How a natural stone business uses AI, and what's in it for you

Jeroen Rutgers runs a natural stone business. He cleans, polishes and seals marble and other natural stone in people's homes. He has no office full of staff and no IT department. He's a craftsman who would rather be on the floor than behind a laptop. Even so, AI handles a good chunk of his paperwork every week. This is how it works.

Step 1: the quote, before he's even out the door

Jeroen works with his own AI assistant, Harry, which is linked to his calendar. After a visit he says, for example: "I was at that customer's today. I want a quote for treating the natural stone. Two people, one day: sanding, honing and polishing, then sealing."

Harry knows how Jeroen works, because it has been trained on his jobs. Whatever is missing, it asks about, for example: "Which sealer do you want to use?" Then out comes a complete quote.

What happens next is what matters. The AI doesn't send anything. Jeroen reads the quote, changes whatever needs changing and sends it himself. Then he gives the customer a quick call: "The quote has been sent, my number is in the PDF." That personal contact stays his.

Step 2: the invoice, from the car

Once the job is done, Jeroen tells his assistant on the way home: "Turn this customer's quote into a customer and an invoice in Exact."

Here too, nothing goes out on its own. Jeroen sees the invoice first, approves it and gets it ready. He does the final steps himself.

The core: your business, your control

At Jeroen's, AI takes over the typing, not the decisions. Every quote and every invoice goes past him. That's a deliberate choice: it's his business, so he stays in control.

For him that's easy to manage, too. He makes three or four invoices a week, and checking them takes a few minutes. A web shop with two hundred invoices a day would do it differently. But for most tradespeople it's a handful of quotes and invoices a week, and that's exactly where this approach fits.

What's in it for you as an electrician, plasterer or painter?

Sound familiar? During the day you're on the job, and in the evening you're still typing up quotes and invoices. AI can help you with that:

  • Less evening work. You say what you did or are going to do, and the AI puts it on paper in your style and with your prices.
  • Faster to the customer. Your quote is ready the same day, while the conversation is still fresh.
  • Nothing forgotten. The assistant asks about what's missing, such as materials, number of people or number of days.
  • Just talk. You don't have to learn a new program. You say what you want, even from the van or the car.
  • You have the final say. Nothing goes out without you having seen and approved it.

It works best when the AI knows your work: your services, your materials, your rates and the way you quote. A general chatbot doesn't know that. An assistant set up for your business does.
